Document management - I find that many of my clients need document management. Clients most often request process improvement and DEI services. But while I’m in my clients' workspaces, I typically see a need for better document management. Here are a few tips if you need document management too….
A server for procedures and official documents.
Version control to ensure everyone is using the correct document versions.
A naming convention for all official documents.
A procedure for document management.
Lastly, you need operational discipline. What does that mean? It means your organization has the discipline to keep documents where they’re supposed to be (on a server or a document management app), your staff does not revise official documents without going through the document management process, and official documents and templates do not reside on individual computers.
I know there are more important things to worry about. As minor as it may seem, document management keeps everyone organized and minimizes confusion. An organization that cannot keep its documents organized is probably an organization that is crippled by mistakes, slow workflows, and client complaints. It doesn’t have to be that way.
If you follow the four points mentioned earlier, you’re taking the first steps toward being a more organized and efficient workplace. Your employees will (or should) thank you for it!
